Monitoring payout times and channels

BI reporting for finance: monitoring payout requests by processing time and channel, prioritising delays and supporting team KPI delivery in a B2B partner network.

Context and challenge

The finance and account management teams requested the solution at a company acting as an intermediary between two groups of B2B clients in a partner network. Timely payouts affected partners’ cash turnover and loyalty to the company. The teams needed visibility into request processing times and payment channel performance so that finance could identify delays promptly and resolve payout issues.

My contribution

I led the payout monitoring project. As a team, we developed BI reporting for finance, grouped requests by processing time and payment channel type, highlighted delays and ensured that problematic cases were passed to the responsible department. The dashboard became a working tool for a team whose KPIs depended on timely payouts.

Approach and solution

Grouping requests by processing time and payout channel

  • The BI reports grouped requests by payout processing time. Finance could quickly assess the overall situation and identify requests taking too long to process for further review.
  • Added a breakdown by payment channel type and processing speed. This made it possible to distinguish delays across channels and examine problematic payouts in the context of the transfer method.

Prioritising delays and assigning follow-up

  • The report highlighted timing exceptions and helped identify requests requiring priority attention. Overall payout-quality monitoring was complemented by investigation of individual cases and problematic channels.
  • Identified delays were passed to the responsible department to resolve payout issues. Analytics was embedded in the finance team’s workflow, helping the team move from identifying a problem to resolving it.

KPI monitoring and support for day-to-day finance work

  • Payout timeliness was linked to the finance team’s KPIs. The dashboard gave employees a clear view of delays affecting their performance measures and helped them prioritise requests.
  • Reporting enabled regular monitoring of payout times and channels, tracking of issues and assessment of changes in request processing quality. The team gained a tool that both showed how the process was performing and supported delivery against its targets.

Outcome

After the BI reports were introduced, the finance team gained a clear and transparent view of payouts. Within a few weeks, the proportion of delayed payouts fell substantially. More timely payments helped improve partner loyalty, while the dashboard became a tool for systematic process monitoring and KPI delivery.
